Sending Notifications to Attendees

⚠ Notifications are only available during events!

During your event, you may want to broadcast a message or alert to some or all of the attendees you're currently hosting. You could have a collaborator walk through every room and announce this personally, or you could send it through the Notification System.

Accessing the Notification System

To access the notification system, navigate to your event in the designer and click the "Live" tab. Here you will be presented with a table of rooms in your venue and how many attendees (including any collaborators who happen to be in the venue) are in each room, and a text field and dropdown for filling out your notification details.

Next to both sections are buttons which allow you to select between sending and receiving information for the desktop venue, or the mobile venue.

Preparing a Notification

To begin creating a notification, first select whether this notification is intended for those in your desktop venue or in your mobile venue via the Desktop/Mobile button to the right of "Event Notifications".

Next, select which room within your venue to send your notification to via the "Select Room" dropdown. By default, this is set to broadcast your notification to all the rooms in your venue.

Finally, fill out the text of your notification using the "New Notification" rich text field. You may also optionally use the notification to link to another room or venue via the Link button in the rich text toolbar.

When you are ready, click "Add Notification" to broadcast your notification. This will be displayed instantaneously to all attendees currently in your event, and will stay on screen for them for several seconds. It will also appear for you in a new "Active Notifications" section, which in turn allows you to control or cancel previous notifications.

🙌 Keep your notifications as short as possible! Attendees will see your notification in a bubble at the top of the screen, and keeping it short will help prevent the text from being difficult to read.

Sending Attendees to rooms via Notifications

If your event has a specific time-sensitive attraction that you want everyone in your venue to be present for no matter where they are, then you can both notify them and give them a way to teleport straight to the action using a link within your notification.

To begin, type the text content of your notification as described above but do not post the link just yet.

Next, highlight the word(s) that you want to contain the hyperlink (note that regular body text rules apply; you don't have to make the entire notification a hyperlink), and then click the "Add Hyperlink" button in the text formatting toolbar.

The menu that appears will subsequently allow you to either link to an external website, or link to a specific room within your venue.

To create a link that sends attendees to a specific room, simply select said room in the Rooms dropdown provided, and leave the "Open in a new window" box unchecked. This will teleport the attendee straight to the room in the same session, instead of launching a second tab as a new attendee.

Finally, click "Ok", and then click the "Add Notification" button as normal to post the notification.
